You can already buy "headshot booth software" that's bare-bones — a queue, a folder, a generic email.

Headshot Station is the version built by an event photographer who refused to send a sponsor's attendees a delivery email that looked like it came from someone else's brand.

How it works

Three steps. One event. Zero spreadsheets.

From the moment an attendee scans your QR code to the moment they get their gallery email — Headshot Station handles the in-between.

1

Set up your event

Brand the signup form with your sponsor's logo, set retouch pricing, and print the QR code. Takes about ten minutes per event.

2

Shoot the queue

Attendees scan, sign up, and queue automatically. Click their name on the dashboard, shoot in Capture One, and the platform routes the files to the right person.

3

Deliver the gallery

Each attendee gets an instant branded gallery email. Your sponsor gets a clean leads CSV. You get your sanity back.

What's inside

Built for the way you actually run events.

Every feature exists because I needed it on a live event floor. No SaaS bloat, no half-built features — just the tools that actually move a queue.

Live queue dashboard

Real-time view of every attendee with WebSocket updates. One click to start a session — the file prefix copies straight to your clipboard for Capture One.

Auto-upload from Capture One

Browser folder watcher pairs with your tether. Photos land on the right attendee automatically as you shoot — no manual sorting, no rename scripts.

Live form preview

Brand the signup form with the sponsor's logo, colors, and fonts — and see exactly what attendees will see as you type. No deploy-and-pray.

Branded gallery emails

Every email shows your studio name in the From line, and replies route directly to your inbox. Custom domain verification rolling out for Premium subscribers — talk to us about early access.

Retouch + download sales

Optional Square checkout in the gallery. New revenue stream with zero extra work on event day. You keep 100% — we never touch the money.

Sponsor lead portal

One link to share with your sponsor. They get a branded portal with every attendee's photos and a clean leads CSV — no logins, no exports, no Excel attachments.

Automated follow-ups

Re-engage attendees who didn't view their gallery or didn't order retouches. Turn old events into revenue weeks after the fact.

Photographer-grade Photo Manager

Right-click any thumb for instant actions. Move misrouted batches in one click. Pick a cover photo per attendee that follows them to every report.

Real sales analytics

Per-event revenue, retouch breakdowns, date filters, time-period stats. Know which sponsors drive the strongest gallery conversion — not just total count.

Built for

Photographers who run booths.

If you've ever run a headshot activation at a conference, corporate retreat, or trade show, this is for you.

Conference photographers

Sponsor-funded headshot lounges at industry conferences. Branded, fast, with a clean lead handoff at the end of the event.

Corporate event teams

Internal company offsites, all-hands, and team retreats. Every employee leaves with a fresh headshot for LinkedIn.

Trade show photographers

Vendor-booth activations and trade show floor shoots where speed + lead capture matter as much as the photo itself.

Why operators switch

The rest of the workflow.

Other platforms hand you a queue and a folder of files. We thought about the part that comes after — the part your sponsor actually sees, the part that gets you booked again.

Other platforms

  • Follow-up email campaigns built in — convert old events
  • Right-click context menu + bulk move + cover photos
  • Filter sales by period, by job, by purchase type
Built by an event photographer

I built Headshot Station because everything else I tried treated photographers like an afterthought. Bare-bones UI. Generic sender domains. Sponsors getting CSV attachments in email instead of a branded portal. I wanted software that respects the craft and looks like it.

Questions

Frequently asked.

How is this different from cheaper headshot booth software?

The big things, the way an actual operator would describe them: gallery emails show your studio name with replies routing back to you, the sponsor gets a branded portal instead of a CSV attachment, you get follow-up campaigns to drive add-on revenue weeks after the event, and the form branding has a live preview so you know what attendees will see before you ship the QR code.

The small things: right-click context menus in the Photo Manager, bulk move for misrouted batches, cover-photo selection per attendee, real sales analytics with date filters, custom fields with a live preview, automated email-on-upload mode. The kind of polish that adds up when you're running a real event floor.

Other platforms hand you a queue and call it done. Headshot Station treats the queue as table-stakes and earns the price on everything after.

Do I need to use Capture One?

Capture One is what we test against — it's the standard for tethered headshot work. Photos exported into a watched folder get auto-routed to the matching attendee.

Lightroom Classic and Capture Pro work too, as long as they export tethered files into a folder. Any tethering setup that writes to disk works.

What gear do I need to run a booth?

Any tethered camera setup. A laptop running Chrome (the auto-upload uses the File System Access API), an iPad or phone signup station for attendees, and a printer for the QR code. That's it.

If you're already running headshot booths with Capture One, you're 90% of the way there.

How do payments work?

You connect your own Square account. Attendees pay you directly for retouch and download orders — Headshot Station never touches the money.

Your monthly subscription is billed separately through Square. The $99/mo goes to us; everything attendees pay goes to you.

What address do gallery emails come from?

Today: [email protected] with your studio name as the display name. Replies route directly to your login email, so attendees who hit Reply land in your inbox, not ours.

Custom-domain verification (so emails actually originate from [email protected]) is rolling out for Premium subscribers — talk to us about early access. The underlying infrastructure is built; we're staging the upgrade.

What happens to my data if I cancel?

You keep access through the end of your billing period. Past that, your event archives stay in our database for 90 days in case you reactivate. After 90 days they're deleted.

If you want a CSV export of everything before you go, drop a note from Settings and we'll send it.

Is there a contract or commitment?

No. Month-to-month, cancel from Settings any time. Your access stays active through the end of the period you paid for.
